Facilities

• Download & Complete the Form: Fill out all sections of the application, including contact information, room(s) requested, and event times.  Application to use school facilities

• Submit Your Application: Turn your completed form directly into the main District Office.

• Board Approval: Applications are submitted to the Board of Education for final consideration and action. Permits may be modified or revoked if school-related scheduling conflicts develop.

• Standard Rate: Organizations may be charged a baseline rate of $20.00 per hour for facility usage, which is payable in advance to Spencer Valley School.

• Case-by-Case Determination: Final fees and schedules of charges are determined on a case-by-case basis depending on the type of event and whether it is a non-profit or for-profit organization.

To protect our campus and community, all facility users must comply with the following legal and safety guidelines before an application can be approved:

• General Liability Insurance: You must submit a certificate of liability insurance and an additional insured endorsement naming Spencer Valley School District (including its employees, Board members, and volunteers) as an additional insured. This policy must be for at least $1 million per occurrence ($2 million aggregate) and sent to the Business Office.

• Fingerprint Certification: If you are applying to host an after-school program, you must conduct criminal background checks on all instructors/assistants and submit a fingerprint certification form to the District proving clearance.

• Adult Sponsorship: Any youth or juvenile groups seeking use of the premises must have adult sponsors present during the entire duration of the event.

By submitting an application, your group agrees to follow all California state laws and District rules, including:

• No Smoking or Tobacco: District policy strictly prohibits the use of tobacco anywhere on School District property.

• No Alcohol: Intoxicating liquors are strictly prohibited on school premises.

• Property Responsibility: Applicants are legally responsible for any damage or mistreatment of school property and must pay for any necessary repairs. The District is not responsible for any personal equipment left on the premises.

• Staff Supervision: A designated regular School District employee must be present to open, supervise, and close the building. School furniture or equipment cannot be moved without permission from the Superintendent.
